Privacy policy

This privacy policy informs you which personal data are processed when you visit our website okami-dojo.de, for what purposes and on what legal basis this happens, and what rights you have.

1. Controller

The controller within the meaning of the General Data Protection Regulation (GDPR) is:
Ōkami Dō Karate e.V.
Scheffelstraße 21 HH
04277 Leipzig
Represented by the board member Tobias Zander (address as above)
Registered in the register of associations at the Local Court (Amtsgericht) Leipzig, no. 7533
Email: info@okami-dojo.de

Our club has not appointed a data protection officer. If you have questions about data protection, please contact the address above.

2. Hosting and server log files

Our website is hosted by STRATO AG, Otto-Ostrowski-Straße 7, 10249 Berlin. A data processing agreement pursuant to Art. 28 GDPR is in place with STRATO. To our knowledge, the servers are located in Germany.

Each time our website is accessed, the web server automatically records information transmitted by your browser (server log files). These are in particular:

  • IP address of the requesting device
  • Date and time of access
  • Page or file accessed
  • Amount of data transferred and HTTP status code
  • Referrer URL (previously visited page)
  • Browser type and version as well as operating system

These data are processed in order to deliver the website, ensure its stable and secure operation and detect misuse. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in the secure and error-free operation of the website. The data are not combined with other data or analysed for marketing purposes. The log files are automatically deleted by the host after a limited period.

3. SSL/TLS encryption

For security reasons, this website uses SSL or TLS encryption. You can recognise an encrypted connection by “https://” in your browser’s address bar. This means that data you transmit to us (e.g. via the contact form) cannot be read by third parties.

4. Contact form and contact by email

On our website we offer a contact form through which you can request a free trial training session or send us a message. In doing so, we process the following information:

  • Name (required)
  • Email address (required)
  • Telephone number (optional)
  • Your comments or message (optional)

We need the required information in order to process your enquiry and reply to you. The information from the form is sent to us by email; enquiries are not additionally stored in the website’s database. If you write to us directly by email, we process the data you provide in the same way.

The legal basis is Art. 6(1)(b) GDPR insofar as your enquiry concerns a trial training session or membership and thus pre-contractual measures. For other enquiries, the legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in answering enquiries to our club.

Your data are used only within the club by the persons responsible for processing them and are not passed on to third parties. Technically, the emails are processed via the servers of our host STRATO. We delete your enquiry as soon as it has been dealt with conclusively and no further communication is to be expected, as a rule no later than six months afterwards, unless statutory retention obligations apply or you become a member.

5. Cookies

Our website does not set any cookies during a normal visit and does not use any analytics or tracking services. Technically necessary cookies are set only in the following cases:

  • If you open a password-protected page by entering the password, WordPress stores a cookie (“wp-postpass_…”) so that you do not have to re-enter the password on every visit. It is deleted after ten days.
  • For persons who log in to the administration area of the website (club officials), WordPress sets login cookies.

Storing these cookies is strictly necessary for the service you have expressly requested and is therefore permitted without consent under § 25(2) no. 2 of the German Telecommunications Digital Services Data Protection Act (TDDDG). Insofar as personal data are processed in this context, the legal basis is Art. 6(1)(f) GDPR. You can delete or block cookies in your browser at any time.

6. Google Maps (map service, only after a click)

On our home page you can display a map from the Google Maps service. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”).

The map is not loaded automatically. At first you see only a placeholder delivered from our own server; no data are transmitted to Google. Only when you click “Show map” is the map loaded from Google’s servers. In particular, your IP address, the date and time of the request, the address of the requesting page and information on browser and operating system are transmitted to Google. Google may store or read cookies or similar technologies on your device. If you are logged in to Google, Google may associate the request with your account.

The legal basis for loading the map is your consent given by clicking “Show map” (Art. 6(1)(a) GDPR). Insofar as information is stored on or read from your device, this is done on the basis of your consent under § 25(1) TDDDG. The consent applies only to the respective page view; the map is not loaded automatically again on your next visit. You can withdraw your consent at any time with effect for the future by reloading or leaving the page and not activating the map again.

It cannot be ruled out that Google also processes data on servers in the USA. Google LLC is certified under the EU-US Data Privacy Framework; an adequacy decision of the EU Commission (Art. 45 GDPR) therefore exists for the transfer.

Further information on the handling of user data can be found in Google’s privacy policy: https://policies.google.com/privacy?hl=de.

7. Your rights

With regard to your personal data, you have the following rights vis-à-vis us:

  • Right of access (Art. 15 GDPR)
  • Right to rectification (Art. 16 GDPR)
  • Right to erasure (Art. 17 GDPR)
  • Right to restriction of processing (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)
  • Right to withdraw consent given, with effect for the future (Art. 7(3) GDPR)
  • Right to object to processing (Art. 21 GDPR, see below)

To exercise your rights, an informal message to info@okami-dojo.de or to our postal address is sufficient.

You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for us is:
Die Sächsische Datenschutz- und Transparenzbeauftragte (Saxon Data Protection and Transparency Commissioner)
Maternistraße 17, 01067 Dresden
Postal address: Postfach 11 01 32, 01330 Dresden
Telephone: +49 351 85471-101
Email: post@sdtb.sachsen.de
Website: www.datenschutz.sachsen.de

8. Right to object under Art. 21 GDPR

Insofar as we process your data on the basis of Art. 6(1)(f) GDPR (legitimate interest), you have the right to object to this processing at any time on grounds relating to your particular situation. We will then no longer process your data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of legal claims.

Please send your objection informally to info@okami-dojo.de.

9. No automated decision-making

Automated decision-making, including profiling (Art. 22 GDPR), does not take place.

10. Changes to this privacy policy

We adapt this privacy policy when our website or the legal requirements change. The version published here applies.
